My admin and I have several hours of additional productive time!

I save at least 1 hour every week, and my admin saves 2-3 hours every week . This means that our team gets a lot more done in a week than was possible with vCita.

Pros

+ Ease of use - this tool is very easy to use for me, and my clients love it for the easy of use.
+ HUGE Time Savings - I have spent no time scheduling meetings this year, and my admin has spent less than 30 minutes.
+ Mobile interface - including a simple app, and SMS reminders
+ Overall cost
+ Customization
+ Record-keeping - I can easily search the meeting history for any of my students

Cons

- Cost of SMS packages - I stopped sending reminders because it was not a great cost-benefit ratio.
- Lack of group-scheduling feature.

vcita has kept us going

Fantastic. We implemented vcita in a very short time and became immediately proficient in using it. It was that easy. The Zoom integration was the clincher for us- it is, by far, the best video platform on the market!

Pros

Zoom integration! Appointment management is simple and intuitive. We are able to invoice clients simply without a worrisome billing system. Incredible communication tools built into the system. Notifications/Reminders.

Cons

I wish we had a way to allow the client to set the amount he/she would like to or is able to pay.
Sometimes it is difficult to do the reckoning between reports in vcita and stripe.

Sinking Ship

Having been a customer for several years, vCita offered an all-in-one solution that few others compared to at the time. However, very little has changed in the last 3 years other than some unnecessary aesthetic updates and very minor enhancements. I got on board fully aware that there were several missing features I needed which were on the top of the feature request list and I put in place workarounds to suffice until these features were going to be implemented. I'm talking about pretty fundamental things, like the ability for online payments to be accepted with sales tax automatically calculated, and add-on/bundled products/services. Instead of the development team addressing critical upgrades the community is begging for, we get branding updates, color scheme changes, and random issues where things that have always worked fine no longer work properly.
Customer service is all but useless, and I constantly get the feeling their priorities lie in marketing the outdated product they have rather than improving it.
If you try the product and feel that it accomplishes 100% of what you need it to do, go for it. But if you find that it looks great but misses the mark on a few key areas, don't jump on board hoping it will be addressed in the next decade. Keep looking. I'm done waiting.

Pros

Relatively easy to use and deploy. Client interface is mostly intuitive and easy to use.

Cons

Product development is nonexistent. Customer support is a joke. On the rare occasion there is an update, I find something on my website no longer works, instead of being improved.

Good customer management software

A Really Great Tool

My experience has been great. I almost feel like the vcita people are my friends even though they're in Seattle and I'm in NJ.

Pros

I love the people like [SENSITIVE CONTENT HIDDEN] who understand that I am archaic and need help implementing technology. I also love that I can follow the day's activities by just flipping on my computer. Vita allows me to do virtually everything I need to do with the exception of cleaning the office.

Cons

I really do not have any complaints with the system.

One of the Worst Customer Service Experiences I've Ever Had

I looked into this app for the scheduling feature and after being contacted by a representative I was offered a free trial of the premium account. After realizing that it was not what I needed I decided that I was not going to use the service. I went to cancel my trial on the day it ended and to my surprise I had already been charged for an ENTIRE YEAR!! I immediately canceled the service and contacted the representative. I was told that they would not refund my money and there was nothing they could do about it. I contacted the CEO and have yet to hear back from him. The only recourse I have left apparently is to contact my credit card company and dispute the charge. I is without a doubt one of the worst customer service experiences I've had with a company. Save your money and refuse any free trials, just use the free version.

1.You had a product demo with full walk through of vCita capabilities with your account manager before you were asked to provide a credit card for an upgrade.

2.You were given an extended 30-day free trial by your account manager, twice as long than our standard 14-day trial period.

3. As part of our service, we offer free installation and customization assistance for all Ultimate Annual subscribers.

You received a full 30 minute training session with our customer success representative before your trial ended, and you installed our solution to your website.

4. As a courtesy reminder, we email all customers a few days before their trial ends. I personally verified that an email was sent to you notifying you that your trial was expiring.

Streamlining Business Operations with VCITA: A Comprehensive Review

Pros

I recently started using VCITA for my business, but unfortunately, I have not had the best experience with the platform. What I like least about VCITA is the lack of customization options. I found it difficult to tailor the scheduling system to my specific needs and the layout was not as flexible as I would have liked. Additionally, I was disappointed with the limited integrations available. I rely heavily on other tools and software for my business and found it inconvenient to have to log in and out of multiple platforms. Overall, while VCITA may work well for some businesses, it did not meet my needs as well as I had hoped

A great option when have a huge team

In my business we offer mental health services and have several professionals, was easy customize the service to everyone and the sync option is the best in the market

Great Value and Features for the money.

Fantastic. Very Happy, would recommend to anyone without hesitation.

Pros

Ease of use and general CRM functionality. This software really does what it says and does it well. Feature updates are great (could be a little more timely, but I'm a Tech Geek and can never get them fast enough)!

Cons

Scheduling of single and groups can get a little confusing especially when adding and selling care packages, so if this could be made a little easier/clearer on how to do for new users, that would be great.

Excellent Software - lousy service

If you never have to deal with their customer service and they never go down, I love the program and would recommend it from that perspective. Its a clean design and offers me all I need at a good price point. I've been a customer for 5 years and I really want to keep using them but I just can't afford to be down as often as I am. Customer service makes a business and Vcita is just so lacking in customer service, it is so disappointing. I don't want to spend hours on end finding a replacement program but after being down 3 times in less than 2 years I am getting tired of fighting with their people to take ownership and fix their issues. My plug in from them runs on Wordpress. When you can't fix the Vcita plugin for Wordpress in 6 weeks I think you've got some bigger problems.

Pros

Vcita drives all of my business. I get all of my prospects and sample coaching sessions through Vcita. It is the life blood of my business. The pop up widget on my website is the driving force, the scheduler is easy to use and I like the CRM for tracking appointments, correspondence and client information. The price is very reasonable at around $140 USD a year.

Cons

THEIR LACK OF CUSTOMER SERVICE!!! As I said they are the life blood of my business but this is the 3rd time in less than 2 years my pop up is not working and neither is the scheduler. For over 6 weeks now! No Vcita no business for me. They have no live support, I've hated this from day 1. Email only. And they often take days on end to reply. I am so tired of "our developers are working on it but no ETA." Then why are you charging me!

This application is grossly overpriced

Overall, I'm pretty luke warm regarding this application. It forces prospective users into a 12 month contract (which wasn't ideal during a pandemic). Honestly, it felt a little slimy and self serving.
Many of the features are not needed for every type of business, while the more basic features requires users to select the platinum plan which is nearly $1000 a year. Had I not been charged for a full year which is non refundable, I would have cancelled already.

Pros

What I most like is the seamless integration with Zoom. The calendar features are pretty intuitive as well.

Cons

This software is grossly overpriced and forces you into a higher tier to get basic features and a wealth of features you dont want or need.

A trial was offered which immediately rolled into an automatic, year long contract--which I found out AFTER my credit card was charged.

You cannot delete appointments made in error nor can you 'actually' delete contacts.

Expensive

I like it very well

Pros

It is easy to use and easily accommodates employees. Easy to set up and understand.Complete package

Cons

Honestly the mobile app gives me a lot of trouble. Have to restart phone to get it to load.The cost. When I started it was very cost effective. Now its almost to the point where I will need to look for something else... Started at $29 now I'm at $150 or something like that.

Unique Appointment Management Solution

For me, Vcita is now capturing more leads on my site because the visitors have a better interaction thanks to the widget that is constantly displayed, capturing the prospects and enticing them to contact me.

Pros

This is the best FREE Appointment Generator system you can get. It differentiates from other products by letting you set up a widget on your website that will capture the prospects and notify them to initiate a conversation with you by calling you, sending an email or leaving a note. Once the potential prospect starts any action, you can follow up on the web portal and start your lead generation/marketing campaign from there if you want. Vcita is easy to use and setup, and I would recommend any business to incorporate it on their website since it is FREE.

Cons

I didn't like the interface design of some web portal features.

Good with some need improvements

Being able to communicate with client with ease. I like it and thinks it works well.

Pros

The ease of the software. The way you communicate with clients.

Cons

Would be nice to be able to create a web form with hyperlink to use on my website that integrates information to clients on portal. Compares to a Microsoft form. More control of the setup of the dashboard. Text messaging should be included and unlimited. Able to setup reoccurring payments from clients through system.

Money Making Machine!

Better return on my Adwords marketing budget. It also saves me hours of a week playing telephone tag to schedule clients. I work and vCita schedules so I do not have to get involved. Everything else is just gravey!

Pros

The floating Word Press Plugin makes it so easy for clients to reach out to me. I do not have to worry about a call to action on every page. vCita is there, no matter where they click! Adwords is EXPENSIVE vCita ensures I get the return on investment converting the clicks into paying clients in my office.

Cons

The app notifications on my phone are not consistent. They work and they do not. I have to make sure I check my inbox frequently to stay on top of contact requests and appointment changes. It works very well for a single location, with multiple people, I opened a 2nd office and clients have trouble picking the right location.

Cost effective, user friendly

Scheduling appointments and staying well organized.

Pros

I am able to keep up with my schedule and all appointments, and keep everything well organize. In my line of business I need to keep up with appointments, time line for sending out ads, promotions. As a travel agent we must keep up with who is traveling and their time frame of traveling. This software helps in this area.

Cons

It doesn't capture my clients interest enough to want to use it in scheduling their appointments. I would like them to click and schedule their own appointments at their earliest convenience.

What can I say?

Pros

EAsy to make appointments and find clients. Easily share with our instructors

Cons

Little immediate support. Due to time difference, response comes hours later and then I try and respond to the email and it comes back that I haven't responded. Luckily I have been able to work most things our myself eventually however I am fearful of something major happening and not getting the help I need.

Wonderful product

We absolutely love Vcita and really could not recommend it more. The staff is incredibly responsive, the software is easy to use, and we love all the new features they are constantly adding.

Pros

The integration of this software was so simple and very easy to use. This software is simple for our clients and our staff to use. We strive to use it as much as possible and really love the overall use!

Cons

I wish there were a few other types of forms we could ask client questions with, like a google form, but the only form information they would have to fill out every single time they scheduled an appointment.

Running a professional business

Support very good except they are not interested when I ask them about integration with our CRM

Great Online Booking for Websites

Great product for my small business

I've been using it for over 2 years and I really like the product.

Pros

My clients have a secure place to connect with me and share documents. They can request appointments based on days and times that work for them. I can manage my workflow more effeciently.

Cons

I wish the software had the ability to link 2 or more individuals to one business, so that they all receive the emails and requests.

My clients, or their administrative assistants, book their appointments...no back and forth emails to identify a mutual time and day for all parties involved. Also, vcita links with Zoom to set up the meeting

Great solution for small bussiness

Overall, we've had a terrific time with vCita. They provide a number of features that are in accordance with market conditions, and they back up their releases with webinars and training calls.

Pros

Appointments are put up in a very straightforward manner.  Ability to personalize the schedule page to make it look more professional and to differentiate the services available. The concept of a customer portal appeals to me. Clients can use the portal to make payments, book appointments, and send documents.

Cons

The billing/invoicing mechanism isn't as robust as some other systems. I'd like the program to send out monthly retainer billing in particular.
