Awesome software!

Overall, it has been very pleasant. The staff reply to email questions quickly and work hard when there are errors.

Pros

As an approver of expenses, it is easy to reject wrongly submitted lines and tell the staff why. It is easy to approve and reimburse! They work hard to keep all major credit cards connected.

Cons

While it would be nice, it is hard to connect to every possible credit card and bank. My personal bank credit card does not connect for auto import.

Expensify - The Easy to Use & Manage Expense System

Pros

Expensify has a great UI for users and is a very easy system to manage. It's easy and fast to submit and approve expense reports, including when staff are traveling. Expensify is so much simpler than some of the other expense management software (e.g. Concur). Some Finance Teams seem to think that going with a more complex software. However, I've found that while Expensify does not have as many "lock down" features as other software, allows us to easily manage expenses and move things forward quickly. When you balance administrative features and user UI/expense management, I would always go with the latter. Getting those expense reports is the most important, and Expensify makes that easy and simple!

Cons

Expensify's largest drawback is their customer service. For smaller companies at least, there is no account manager and we can only receive support via chat/email. This can be a huge challenge when the integration breaks or something complex needs to change.

Great User Experience

I have had a really pleasant experience with Expensify as a user. It's easy to use and fits into my monthly tasks well. It also feels like a transparent process when it comes to understanding the status of my reimbursements.

Pros

Expensify way provides me with a clear and easy way to manage my monthly work expenses, combine them in a report, and submit them. It's easy to upload receipts, assign departments, and other necessary details like whether something is Direct, Overhead, or part of a Sub-Department. Creating expenses and submitting reports is a breeze and I assume this helps businesses track all of this on the backend in a clear way.

Cons

A lot of the information within the UI feels promotional and less helpful. There can be an excess of information at one time.

Affordable and Convenient , yet I plan to leave expensify

it is worth trying. but unlike even a year ago the competition is finally offering similar features for similar pricing.

Pros

due to popularity it is easily assesable and offered many ways to upload an expense. I like how unlike most app/software companies gets it as they make if affordable and capture the biggest marketshare.any companies think their software is be get tham it is and is cost prohibitive or have user minimums which usually are not applicable for small business. I love how they are one of the few to offer personal credit card integration feeds. Believe it or not most do not and actually expect us to upload statements

Cons

buggy at times, doesn't transition from mobile to desktop or we based version. mobile app.has far less ability. mostly if fails at the main purpose, saving me time. every months nearly every expense is duplicated, failing to match itself to the credit transactionnand this takes forever to fix. It only sycs properly to the credit transaction if the receipt photo is taken from then app. if you try to upload screenshots? email you invoiced and use the ios "Sent too function" it duplicates the transaction..tech support actually told me to wait for the bank before uploading the receipt. This eliminated the entire point of the product.

Super Easy to Use but Wish Quickbooks Integration Was Better

Use it to capture all expenses among our team. Works great on business trips. No more receipts stuffed into a suitcase on the way home. Does a good job of importing chart of accounts from Quickbooks. Easy to set rules (i.e. must have receipt for expenses above $25). Helpful having 4 options to add new expense - photo, email to [email protected], upload receipt file, manually create. Great digital record capturing photos of all receipts. Nice to only pay per active user per month.

Pros

This is a great tool to capture your expenses. The interface is super easy to use--just taking a picture of a receipt and letting the tool fill in the necessary information.

Cons

Haven't been able to get the online version of Quickbooks to integrate with this, so our accountant still manually enters / uploads the expense report info every month

Good enough.

It works fine, but It could be more flexible.

Pros

I like it because my users like it. They find it to be easy and quick to use.

Cons

From an admin perspective, I find expensify to be good but not great. I wish it had more flexibility with regard to approval flows.

Makes invoicing a lot easier

Expensify simplifies expense management with an intuitive interface, cool receipt scanning feature, and smooth integration with accounting software.

Pros

The SmartScan mobile app automatically reads the receipt details when a picture is taken for a receipt, so there is no need to manually track your expenses

Cons

Smartscan is super convenient but it can be buggy sometimes so you need to review your expenses just in case there is a mistake. It doesn't happen all the time but it does happen.

The easiest way to expense

Photographing a receipt or uploading an image is as simple as it gets

Go-to Expense Reconcilliation for wide spread and remote working mid-sided companies

Overall the software is pretty good, and comparable to many direct from Banking institution programs, with the added funtionality of being able to claim reembursement for out of pocket purchases. Outside of the software itself, I would caution that the company has used used the software and associated email communications as a platform expressing their social and political views which is rather unbefitting and could be off-putting to parties who may not prescribe to the same views.

Pros

Software features multiple ways of uploading receipts and Coding spends for expenses. Application AI is very good at autmatically assigning cost codes and verifying receipts to actual spend backups. Software also allows for modification of these auto-entries in case of recoding requirements and the mobile app is very easy to use. Attachemnts are drag and drop on the Browser portal, and mobile device attachement is integrated in to OS gallery lookups. they have a good system for flagging un-filled required fields wbefore allowing the spend reports to be transmitted for approval by the designated approver.

Cons

Bank feed syncing can be delayed and charges do not appear for a few days; especially with Canadian banking services even with Tier 2 banks like HSBC. Some sysnicn issues arise between the mobile app and the browser portal if the app is left open on the mobile device - the system lags out and does not save some of the information which then requires re-entry. Fortunately this is flagged as part of how the software works so is not missed if lost, but still requires to be re-entered.

Convenient Expense Reimbursement Software

Overall great employee expense reimbursement system for small/midsize business. Easy to use and implement. Would definitely recommend!

Pros

I love using Expensify to reimburse our employees. It is super easy for employees to create expense reports. Expensify also has approval workflows which allows employees to submit their expense reports to their managers for review first before submitting to finance for reimbursement. Expensify is also integrated with our accounting system which allows me to sync expense reports without having to manually enter expenses again. The payout process is also super simple and can be done directly through Expensify by connecting your company's bank account.

Cons

I wish reporting was done easier in Expensify. Creating a report could be tricky (Expensify requires you to use formulas) but overall it is manageable if you learn a few tricks.

Great in theory, from a bookkeeping POV

Pros

When working properly, it easily brings account codes, jobs and copies of receipts into accounting software. It links to various credit cards with the paid version for easy reconciliations. The biggest benefit for my application was having the individual card users coding and providing backup for their transactions with the ability to then very easily reconcile in the account software (I use Xero).

Cons

The customer service is the worst I've ever encountered, of all companies I've ever worked with in my life. All questions are submitted via chat with a minimum of 2-4 hours between responses. This makes a conversation impossible. There is no help with initial setup or training, which would likely reduce all subsequent problems. Even for an accounting firm who wants to implement the software to a number of clients, there is no personal help.

There are constant issues with the credit card links and the sync needs to be manually updated to reconnect. This is not apparent until the user realizes that transactions are missing. From a workflow perspective, these issues should be resolved automatically or a notification received.

There are constant changes within the software without forewarning. This makes using this product a constant battle with regularity. It's also not as intuitive as it should be. My clients often tell me the same, that the software just simply doesn't work well.

As a small addon to a much larger web of integrated softwares, the amount of issues I had with this software makes it not worth using for my firm. My frustrations with getting it set up properly for my clients was met with indifference by the staff. Ultimately, in a world with many other options, I was forced to go elsewhere.

A robust system for documenting and controlling expenses

Expensify enables us to document expenses and raise their records to the cloud with ease and smooth audits and approvals within specified dates.

Pros

The great thing about Expensify is that we are able to monitor, document and control all expenses. Through Expensify, team members got rid of collecting paper receipts and then preparing lists and submitting them to the accounting department for auditing and approval. With Expensify, things have become clearer, as each team member independently will be able to scan his invoices to be raised on his own cloud and enter data from them to his expense page, and then the accounting department will be able to audit and notify him of approval or request other inquiries, and by These quick and accurate procedures ensure that no receipts are lost and that you get the money straight away.

Cons

Not a lot of unwanted things, and it does not require a lot of effort on the part of the users to be able to track their expenditures properly.

Worst customer service

Expensify is good for business, but bad for personal use

My overall experience with Expensify was mind-numbing, but I think that was due to the nature of my job. The actual site and program was not bad, but again, it's tedious for anything other than business purposes.

Pros

What I liked most about this software, Expensify, is that it allowed for bulk imports and would often suggest categories for certain items once you upload enough receipts and it could find a pattern. In my position as General Manager, I had access to a company card and Expensify is how we kept track of everything before exporting it to our company's accountant.

Cons

What I liked least about this software, Expensify, is that it often flagged certain receipts for being duplicates or for being incorrect despite that not being the case. Unfortunately, this prevented you from saving the files correctly until the "disputes" were corrected. For a business, this can make sense or be rectified as the totals are all that really matter, but for personal use, keeping track of tiny margins and trends becomes a lot more important and needs to be protected.

Expensify is pretty good

Overall I think Expensify is a solid product but I do believe they would do well to add a lot of functionality from an administrator / accounting perspective.

Pros

I like the ease of loading receipts and drilling down into an expense report to find the data I need for accounting purposes. I like the user interface. It's extremely easy to add a new user and our new users never really have questions so I think the users find it easy to navigate. I love that it interfaces with our accounting software creating a seamless exchange of data once everything is set up properly; this saves a lot of time and duplicate entry. I love that it has a direct pay option - the users get the payments directly to their bank account.
The customer support is a chat feature - they don't always respond immediately but it's always pretty quick and they are extremely responsive. They have always helped solve all my issues and I consider their support to be pretty top-notch.

Cons

I think the product is lacking altogether in Reporting functionality. There's really not even a "Reports" module to speak of. You have to basically go in and pull your own data from the modules ...it makes everything feel clunky and unprofessional. It's also tricky to find what you need in settings, from an administrator perspective.

We stopped using Expensify after 5 years of being customers

We've used their service for 4 years and they kept increasing their fees and finally they locked us in an annual agreement and changed their procing model again. They customer support don't answer any questions, they keep sending links to their documentation and support forms instead of answering questions.

Pros

Their software has a lot of features but nothing that the other player in the market don't have. their customer services is horrible

Cons

Their are far better alternatives in the market with better value, honestly stay away from them. we've worked with them for a long time and they changed from a startup to a big company with horrible customer service and focus on getting more money from their clients.

Great app for tracking expenses

Overall, I would highly recommend this app for anyone who needs to keep track of expenses. It simplifies the process and makes keeping track of receipts so easy. I don't pay for the monthly fee because I don't have enough to track, and an option to buy it outright might be nice for someone like me, but if I had a lot to track I can see the low monthly fee be a worthwhile expense.

Pros

It's simple, easy and keeps me organized. I am not naturally organized (I would just as soon throw a receipt out as try to remember to keep it and then submit it to my office) and so I have to intentionally work at it. This app makes it quick and easy. You take a pic and add some info and it's done. I don't pay the monthly fee because I don't have that much to track, but if you do I would think it's well worth the money. It breaks your expenses down into manageable categories and works offline if needed. If you need help staying organized or just want less paper to keep track of then I would recommend this app.

Cons

There really isn't anything about this app that I dislike. It does what it's supposed to do and it does it very well. Maybe if it integrated with my phone camera so when I take a picture of a receipt it automatically gives me the option to import it into Expensify? Maybe that's a pipe dream...

Expenses made easy.

Overall Im happy. They have a powerful app and uploading expenses is quick and effective. The app is decent so saves you having to use the web client. Overall it does what you need it to do, but theres some advanced functions that Expensify is missing that its competitors have (Listed above).

I would recommend this vendor if you want speed and simplicity, but if you are interested in the more advanced functions and automation then its worth having a look at competitors first.

Pros

- Very easy to upload receipts
- Handy email reminders
- Variable options for tax which helps when working internationally
- Options to retract submitted expenses to correct mistakes without waiting for them to be declined by financing teams

Cons

- The receipt scan function is slow, to the point where everyone within our teams choses to manually upload the receipt info. This is fine as it doesn't take long but it makes the scan option pointless.
- No geotagging to show location of your purchases, such as you see in Monzo/Revelout/Stirling bank etc.
- Occasional software crashes, quite a minor complaint as you simply re-launch the app and continue
- No way to automatically link into a bank card, so your expenses don't automatically upload - This would be such a game changer!
- No total expenses viewable on app, you can see the total value of each individual claim but if you want to see how much you have claimed over the week/month/year you need to manually add them up.

Good Concept, Buggy Execution

Easy expense report submission.

Pros

I love the convenience of being able to submit work expenses for reimbursement in multiple categories and under different reimbursement schemes. The software facilitates automatic generation of reports and offers automatic submission as well, so I don't have to worry about categorizing or submitting my reports by month, pay period, etc. That can all be customized and automated. It also keeps track of the current reimbursement schemes offered by my company (i.e. current mileage reimbursement rates) so I don't have to manually keep track of that or enter it each time.

Cons

Because there are so many features to the software and customizable options, it loses a bit of the "user friendly" aspect. It also throws a lot of flags on certain expenses that I submit due to rules in the app that don't apply to that category of expenses (i.e. receipts are required for all expenses, but when I'm submitting a mileage expense, a receipt is not applicable). In order to take full advantage of all the software has to offer, it seems like you have to be an expert on customizing the app, otherwise you get lost in the feature sets and it becomes more confusing and less user-friendly. Furthermore, I haven't found the customer service to be incredibly helpful, and think the automated concierge customer service needs to be improved in order to be useful. I also wish the software/app would send reminders to me for recurring expenses that I submit on a monthly basis. For example, I often forget to upload my receipt for my phone plan, which is paid on the same date every month. I wish the software would remind me to do so. (Maybe there is this feature available, but it is not something I have found yet).

A Senior Accountant's Review

The direct integration between Expensify and NetSuite saves us time from keying in each expense report plus it provides a link to each receipt in NetSuite.

Pros

Expensify has partnered up with NetSuite to create a direct integration between them, which makes it so much more efficient.

Cons

Expensify makes you choose how many user's to bill every month in advance in order to get the discounted monthly rate, whether or not you actually have that make user's using it. We found not all our user's use Expensify every month. And as a result, we are paying more than we should. Unfortunately, if we chose to be billed for less user's and we have more user's then we get billed at the full price on the overage.

Worst Customer Support In the Industry!

This company invests NOTHING in their support. While it may be a simple system from the employee side, it's a complete mess for administrators. There are hundreds of nuances and settings that you have to dig through and spend dozens of hours reading their incomplete and oversimplified support documentation. All of this could be circumvented with a 5 minute phone call. In fact, if it wasn't for their sales rep helping me set up the initial settings, I might never have used their platform at all. But that was the last time I was able to speak to a human being at their company. The most astounding factor is that they don't have ANY upgraded customer support options even if you have 100s of users and pay them $1000s per month. This company needs to get their shit together. I'm looking into moving over to Abacus or Concur.

Pros

Employees will find most features relatively straightforward.

Cons

They need to seriously improve their customer support. It's messaging ONLY and the support staff takes HOURS to respond and when they do, it's completely off the mark. Their support staff is based in Australia and only work SUNDAYS to THURSDAYS U.S. time.

Expense Tracking Made Easy

Expensify has made tracking expenses easier than ever. It saves me time and stress, and I know no money is being left on the table.

Pros

Expense tracking is typically a grueling experience. Everything from keeping track of expenses, to avoiding mistakes when reporting them is a headache. Expensify is the only thing I've used which actually makes the expense process enjoyable. The GPS mileage capture and automated reimbursement features are amazing, and everything else about the platform makes tracking expenses easier than ever before. Fixing the expense process is no small feat, but Expensify has made it extremely intuitive and pleasant.

Cons

The interface can take a little while to get used to, but once you get the hang of it it's actually quite simple.

My favourite feature is by far the receipt scanning ability. Whenever I travel abroad for business, I come home with a handful of receipts as I don't have a corporate credit card (I do not travel frequently enough). Taking photos of all of my receipts and dragging them into expensify saves me a tonne of time. I've also heard from colleagues that there are features to integrate with taxi/uber apps so that business travel is automatically raised as an expense but I have yet to try that out. Basically, the more automated the process of putting in expense reports can be made, the better! I rarely use the mobile app to put expenses in, just by virtue of the fact that I usually just email all the photos to myself to do back in the office, however I do like knowing when expenses have been paid or to check up on their progress from mobile.

Cons

I find the the IA of the app confusing. I use the software only every month or so, and I am always confused by the fact that there are expenses, and then there are reports... so sometimes it takes me a while to realise where to go to submit my expenses. When not in the context of a business trip, I often have adhoc expenses for things, and so it feels weird not to be able to submit these without generating a report to put them in. Perhaps it is a business process feature, but it is definitely a stumbling block for me every time.
