Easy to customize for specific needs
Square 9 assisted our company with going paperless with electronic approvals for all AP. We have employees who work in different locations, and this has helped greatly.
Pros
We had a lot of customization requests for our business needs. The original set up process was successful, and as we used the product adaptations were easily made.
Cons
The one drawback to Square 9 is the delay in downloading. It seems to lag a bit at times.

Square 9 Invoice Approvals
Pros
I like that Square 9 can not only store our documents and separate them into convenient archive folders, but we also appreciate that it handles all of our approval workflow processes. From Invoices, Credit Card Receipts, to Travel Requests. Initial setup can be a little overwhelming with all the information that goes along, but the knowledge base instructions and videos make it a lot easier and quicker to learn.
Cons
We sometimes experience bottlenecking of data being integrated between our CIS/FIS system and Square 9. This causes some hang-ups with workflows, scanning/auto indexing of documents.

GlobalSearch, formerly SmartSearch, used to be a favorite of ours. Now it lacks a lot of...
We used to like it, but as it allegedly advances in software development, it bothers us more and more. This is not advancement, this is software regression.
Pros
It was cost-competitive, but recent price hikes have lessened that advantage. Has an easy-to-configure archive setup, but its getting messier on their new web consoles. I also like the way it can be both web and desktop client, but new developments in this software are leaving us disappointed.
Cons
The viewer interface is slow in launching a lot of retrieved documents. The Scanning Services to process documents runs slower than our old Digitech did, (and that's pretty slow). Their batch manager is NOT easy to use, and the new workflow interface is a mess.

Excellent Product
Overall Square9 has made an enormous positive impact on our organization and we are very happy with the decision to use their products.
Pros
The best part of Square9 is the visibility and fast access to documents, both in process and archived.
Cons
The worst part of Square9 is that we are not completely reliant on it for our Accounts Payable processing, so when the system stops working, our entire ability to move forward with processing and paying invoices is held up until it is fixed. Fixes for those urgent problems do not happen as quickly as we need them done.

Longtime User of Square 9
It has been good and I hope we can continue to use them.
Pros
Document management and the work flow creation is great for processing.
Cons
We do talk with IT Support often because the program constantly needs updating and bug fixes. But they have always fixed the problems

Square 9 was a great change
Overall our end users seem to like Square 9 and the management side is much more streamlined and intuitive than other products that we have used in the past.
Pros
We switched from a different document management solution due to the complexity of managing the system. Square 9 made the install and setup a breeze. Day to day management and use is much easier with its Active Directory integration.
Cons
I currently do not have any cons compared to what we have used in the past.

Efficient Document Management Solution
It is largely positive. The app's robust document management features, customisable metadata, and advanced search options have significantly improved my document organisation and retrieval processes.
Pros
It has an intuitive interface that makes it easy to navigate and use, even for those new to document management systems. I can quickly locate and access the tools I need. The ability to create and customise metadata fields for documents is a standout feature. This ensures that the documents are tagged with relevant information, making searching and sorting a breeze.
Cons
Mobile features are less than what we get on laptop.

New to Document Archiving
We had many years of client files that we are required to maintain. We have saved so much space it is incredible, and our documents are much more secure.
Pros
Our agency had always done everything on paper and we were not very technologically savvy. Square 9 got us up to speed with their training and support and we have been able to dramatically reduce our amount of paper documents with a goal of making everything electronic.
Cons
Being new to document archiving, many of the processes were foreign and the terminology was unfamiliar. It was a slow start for us but Square 9 walked us though it and we were able to develop processes that worked for us.

Super happy with our implementation so far. We're just getting into things now...
one step closer to going paperless
Pros
Love the workflow design interface for global capture and global action. Also, the batch manager is SO useful in tracking the workflows and how they are working (or not working). The ability to tie documents to other databases with lookups is also very powerful.
Cons
I wish the documentation had some examples, esp with the OCR template setup. An example in particular of the directional OCR zones with repeats for line item data extraction into a table field. Even a walk through video would be VERY helpful. The current documentation doesn't explain all the settings and how to configure them for repeating zones. Since its difficult to explain in text, a visual would REALLY help. I've been fighting with it for some time now and I still don't have it working.
A hyperlink data type for URL fields would be a great add on. We have many documents that we would like to link to a mapping application ie. work permits link to a location. Many of our documents have a spatial reference that i have in a lookup field in another database that has geographic coordinates based on address. I can't believe this hasn't been implemented yet?! The proposed workaround in the forum doesn't work. The ability to click a hyperlink field that opens a new browser window to a specific URL would be SO nice.

User friendly. Organized workflow. Easy to retrieve records by any detail.
Pros
I primarily use the program to input accounts payable invoices. Having all the invoices, contracts, tax forms, and crucial correspondence in one location is great for facilitating my workflow.
Cons
The Key Free feature is a wonderful tool in theory. However, I find myself having to go back and re-enter a lot of the line items, because it captured the invoice number or date incorrectly. Also, going back and forth from Key Free to manual entry is too time consuming, that I've discontinued using that feature.

Great and easy tool to use.
We are storing all of our legal documents, tax returns, account payable checks, journal entries, ACH/Wire documents and a few other random documents. We have security in place but storing them here allows our other divisions to view these items and eliminate the need for copies stored at their site.
Pros
I like how easy it is for users to use. Very little training is necessary. Accounting was skeptical but I believe they love it now.
Cons
Sometimes the template and workflow creation can be tricking. There is so much you can do but the online training only dives in so deep.

Good solution with good customer service
Overall, it is a good document retention solution. When I get additional information about the additional features, it seems like an even better solution. Unfortunately, our IT department is not staying current on rolling those features out.
Pros
The customer service is very responsive.
Cons
Most of the cons are related to how our IT department has implemented the solution. Wish it could be easier for me to be an admin to do things like workflows, etc. without having access to company wide information.

Overall using Square 9 has been easy and it has made finding documents much easier since we now have everything stored in one place.
Pros
Square 9 is a very easy and functional tool to use in order to keep all important documents in one central location.
Cons
Sometimes documents take a long time to open/download. However, this is combatted by using the desktop version instead of the web browser version.

It has been difficult to set up workflows and scripts for a complex muti company use
Pros
Integration with our accounting software and the ability to search for documents with image exchange from another program
Cons
Archive layout and audit trail is not very descriptive as to what was changed and by who on a document. Grids are not customization enough to be able to select sub accounts from our accounting software and combine them to create a complete GL account

Take a lot to search multiple items. It would be great if I could copy and past a list and search them all at once.

Cons
Would like to see added features that are more akin to Sharepoint with the ability to multiple fields across multiple documents at once.

more stumbling blocks and pitfalls than any other product
Pros
Its User Interface for validation users is so simple and minimum that validation users can't mess up.
Cons
Support. I've yet to get through to someone on the phone after over a dozen tickets opened, always a voice mail and email, then waiting hours for response.
My installation team, a reseller and it did not go well. I don't believe this was ever set up correctly to begin with and now it's a mess to try to figure out what went wrong. 5 months in and we still don't get 80% out of the product.

How global forms work is a little tricky. Workflows and such are kind of hard as when we were sold the software, they didn't state this portion of it.
