Acctivate Review

We have been using it for 6 years now. There was a bit of a learning curve. Once sorted out, we can order receive, pick and sell our product with ease. Database size has been a bit of an issue and Intuit file size management grows quickly. Great product for a mid size business.

Pros

Acctivate brought us up to todays technology in product Inventory and sales control, at a reasonable price.

Cons

The lack of Vendor control, and Vendor Options make things hard.
Doing a Daily Sync with Quickbooks does not come with out issues, and tax rounding is Canada is a large issue.
We do have SOP's in place to administrate these short falls.

Basic use only. If you manufacture or assemble items, not good.

We have been using Acctivate since 2017 and was so frustrated we ended our maintenance contract. A windows update 'broke' the ability to print, so we signed up again.
Updates in 2023 changed some workflows but we managed.
When the most recent update (12.3) came out in 2024 and we lost prior functionality and new workflows are harder, we have once again ended our maintenance contract.

I will sum up my experience with Acctivate, both using the program and interacting with the company, with this simple-to-understand issue:
As a customer, as a user of the 'internets', (And as a person with common sense)
I use support ticket interfaces almost daily. While Acctivate has a support ticket system, once support has answered my ticket, MY INITIAL post as a customer is hidden from view.
Think about that - The company removes (hides) my initial request for support and all the effort that goes into asking for help from me, so that when I read the answer the support ticket, I can't read what I first wrote! Fast forward a few days and I get a helpful email that says [sensitive content hidden]' has not been updated in several days, should we close it?
UMMM - what is that ticket for?

I have posted well over 120 support tickets, few of which have ever been addressed. And they are closed without a resolution and no answer from the company.

I WANT to be an advocate for Acctivate. I WANT to be able to recommend them.
We have invested 7+ years in developing a system that works, but they don't seem to be able to design a GUI that leverages the power of the info in the system. They have not receptive to detailed requests for improvements that would make thing less confusing and easier to use.
I don't think it would take much to make it better, but when each new update changes our workflow and requires more work to do so, with less clarity while doing it?

Sadly, I don't know what system out there is better.
The two stars are because it does do SOMETHING - it just takes quite a bit of work to get there.

Smooth Sync with Quickbooks

Cons

Total frustration with recent updates adding more steps to basic functions and changing the design to make core functions multiple button clicks, while obsuring what the user should do.

Acctivate Inventory Management works well suits our needs

Very please with our choice

Pros

The setup and learning curve were very reasonable, daily use and upkeep is easy

Cons

The dashboard needs to be more user friendly to setup and use (sizing and placing the report boxes is awkward) Some dropdown menus are not intuitive, but once learned easy to navigate

Excellent for the Price!

We were able to greatly improve visibility of our performance allowing us to focus resources in the areas that needed help. The quality and consistency of our output also improve dramatically. Probably the one area that had the most drastic improvement has been our warehouse. The ACCTivate our inventory is the most accurate it has ever been and order processing accuracy has also improve dramatically with the use of the mobile scanners.

Pros

Software is filled with many intuitive features that cover a wide variety of of business uses in everything from order processing to inventory management.

Inventory management includes ability to manage using bins and multiple physical or virtual warehouses. This is a strong feature for an application in this price range.

The ability to create custom fields in virtually every section of the software helps resolve many challenges, and the fields are, in most cases, can be made to appear in reports.

Has a great order management module that can be customized for specific views and allow for both visibility and batch management of open sales order.

Mobile/handheld support allowed our warehouse to switch from manual to scanned picking, which greatly improved accuracy and accountability.

Software supports ODBC connectivity which provide a solid work around for the software's lack of strong out-of-the-box reports (see below)

In conclusion, if you are a small to mid-size business that has outgrown Quickbooks, you really cant go wrong with ACCTivate. So long as your Quickbooks data is clean and organized, migration is quick and painless.

Cons

Out of the box reporting is a bit limited depending on your needs. Very basic reports are fine and they are accurate, but if your business has complex or custom logics by which you evaluate performance, you will need to hire a report writer (Crystal Reports) to build your report templates.

No real audit trail tracking/reporting so seeing who did what can be a challenge.

Lacks ability to restrict certain permissions that can lead to accidental or deliberate manipulation of data resulting in order processing errors.

Acctivate has some powerful features for the price

There are many Pro's and a few Cons for each module Acctivate produces. I do enjoy their proactive webinars and online video training access. I also like we have a training company with our data that allows our new users to learn without making costly errors we need to reverse. The sales system has many options to sell a product from multiple warehouses and at custom customer defined prices using Product pricing matrices. Importing pricing from excel spreadsheets is not a big chore with saved templates Acctivate manages. We have used Acctivate since 2006 and our business has grown and yet at the same time, computer hardware, online cloud storage and major version changes from 6.0 have occurred. Being a part of the support program that has allowed Acctivate to tranform and improve has been the main reason we are still with Acctivate today. Being a key partner to Quickbooks and having these two Sequel Databases sync daily, allows me to source bookkeepers who readily trained in Quickbooks and able to spend more time on proactive analysis of our business using many standard and custom reports we have had made in Crystal reports which is the primary database query program that takes our data out and export to useful programs such as excel. One of my favorite modules is the Dashboard button which loads many crystal reports that are one page reports onto one screen and used by us daily to steer our business based on performance and reports we need to view often. Inventory management is strong, with multiple warehouse, web links and product notes can be generously added to every part number. Learning to use crystal reports to audit inventory movement can be difficult for a new user. Additional custom fields can be added such as Average Inventory turns. Acctivate does allow us to bill out our customers with masked part numbers and create a general kit with a detailed description of the work we performed without disclosing part numbers or labor. Another aspect of Acctivate I find useful is the Activity Scheduler, Alerts and Review buttons. I can generate PO's based on min/max levels or by availability and saves time. This software is still a great fit for my business.

Adequate, But Far From What It Could Be

Acctivate is a reasonably decent inventory management and customer service package. Expect to make significant investments in custom reporting and form layout in order to make the program work best for your company.

Pros

Inventory tracking features are pretty solid.

Cons

The reporting features in Acctivate leave a lot to be desired. We have had to spend a great deal in custom report programming to get information that is useful and thorough. It is obvious that the people who wrote this software do not use it daily in a real world situation. Many features are far from intuitive, and the program can be quite buggy. Alterity has also been unresponsive to suggestions that would greatly improve efficiency such as the ability to sort sales orders in SKU order, and the ability to import purchase orders.

Acctivate Inventory Software preforms well

Our inventory is able to be managed in a timely manner. Accurate inventory is key to our business.

Pros

It is easy to process orders and maintain inventory.

Cons

There are many helpful reports. However, I would like the ability to run my own queries to customize the information I need.

Excellent Software for a small company

We started using ACCTivate in 2010 as an inventory add-on to Quickbooks. We have very much appreciated all the software had to offer. We have modified the system somewhat over time to fit our needs. We also had some custom reports created for us that have worked very well. Very pleased with the software and the support team.

Pros

-Very intuitive product
-Easy to learn
-Highly functional
-Crystal report software for reporting is easy to learn and use to customize your reports
-Very flexible system

Cons

-Original Reporting is lacking. Custom reports are available or can be made by a third party
-Very occasional issues syncing with Quickbooks

Acctivate Inventory Software

I think Acctivate has a lot of software updating they need to do to make this software a great use for inventory tracking.

Pros

Pros to Acctivate would be the ease of receiving inventory products and tracking where inventory items are in the process of manufacturing.

Cons

Con's to Acctivate would be it's posting and editing capabilities. Once you decide to post something in Acctivate you cannot go back and edit that post. Also if you use unearned revenue and pay a deposit on a invoice you cannot go back and edit notes on the invoice. I think this particular software is still behind in the technology world and it could be a very useful software once they work out the kinks.

For the most part acctivate is user friendly.

Pros

It is simple to use, easy to find items and customer accounts. Updating customer information is really easy to do.

Cons

Has some internal errors that happen often. Will freeze up and have to restart the program a few times a day.

10+ Years & Counting

Over the years that we've used Acctivate it has always provided exceptional inventory management and control. From purchasing through receiving, sales and shipping, we've been able to easily fit our business processes to Acctivate. Plus as out business has changed over the years, Acctivate has been flexible enough to accommodate our ever evolving needs .

Traditionally we have been a value-added distributor of packaging products. Now we are adding US based manufacturing capabilities and find that Acctivate easily supports our requirements for bill-of-materials and build processes.

I would be remiss,however, if I did not mention the outstanding capabilities to track and manage all types of business activities within the software. While the operational portion of the software is the bread and butter of the business, the real return is found in the business activity management capability.

We plan to continue using Acctivate for the foreseeable future. Our thanks to the entire Alterity team - sales, support, development and administration.

Over all a very solid application. We experience a couple hiccups once in a while but very...

Customer service is very responsive when we need them. Technical problems are rare and sometimes are solved merely by rebooting our SQL server (so it could be something on our end). I love being able to query the database into Excel since I find it easier to write code in VBA than to work in Crystal reports (since I have 40 years of experience writing BASIC code). Plus, Excel makes it very easy to slice and dice the data in many ways without having to re-run the query. We sometimes have an issue after syncing with Quick Books that causes journal entries to be duplicated which then need to be deleted from QB and re-run the sync - that fixes it every time. System can run slow sometimes, but again, it's probably an issue that we have created with 16 active users and data that has never been compressed and archived. We have detail data that goes back to 2005 so calling up a large customer or a very popular product that has a lot of sales order history can be slow at times.

We have definitely solved our inventory issues. Very, very pleased with the program overall

Pros

I love the sales orders, PO's and quotes. My inventory is finally understandable and notifies me when I need to re-order

Cons

It took me about a full month to fully understand the process.

It's not the most user friendly

I enjoy the fact that we can create all of the product details we need recorded into our system. I also can appreciate the webinars that Acctivate provides for us in keeping us updated.

I struggle with how user friendly it is, and we are currently dealing with a lot of stock sync issues on our web portal. We have been informed that the products will only update if they have activity on them, so some products don't even get updated for years. This has caused us to do a lot of manual stock syncing that creates stress on our end, and our customer's end. We would like to see a stock update on each product multiple times a day.

No need papers!

Pros

I noticed this software is awesome in keeping records, also in inventory management and keep any transaction that will help you and the company. I like it so much.

Cons

It tends to crash if you are not updated in new version.

Does what you need ...

My ideal answer would have been middle of the road. For the cost of inventory software Acctivate does what you need it to, but not always easily. Each additional module cost another $1000 to $1500+. It is fair cumbersome to get the right report at first until you learn Crystal Reports filtering and you can't modify or personalize reports with out purchasing Crystal Reports. Import Export options can be clunky it is all a learning curve. Syncs fairly well with Quickbooks, fairly easy to learn.

great product!

Acctivate is a great product that makes our business run pretty smooth. Great customer service as far as tech support goes, but one thing i wish you guys did better was product training, i haven't really had the best experiences with the third party consultants that do the t raining, they charge way to much for not much valuable info. I got more info off your help site, but it's much easier to be trained by someone that knows what they're doing. Other than that, it's pretty good overall!

Customer Services is outstanding

When working with so many software vendors; you dread picking up the phone or sending that email because you know you will get the run around no matter how thorough you are with your description. Not with Acctivate support! They have worked with us as the business model changed for our client. Support staff have been professional and helpful throughout our relationship! They are here to support us in the beginning and 3 years later!

Moving in the right direction

We've had some new bugs and changes we did not like in version 10, but overall it was an improvement on an already excellent product. Specifically, changes to the display of Totals on Sales Orders and some trouble with changes to Invoicing w/credit cards have cause some headaches. Other bugs we have seen are so far non-reproducible.

The new UI overhaul, consolidation of some tabs, etc are all great changes

Acctivate review from a consultants view.

Pros

The software flexibility is the best thing about this product. If you work with someone who really knows this product then they can can help you with a solution that will help your business achieve the best results. The software is the best on the market that will allow you to remain in QuickBooks. Additionally, the fact that it leverages SQL and Crystal Reports makes it a truly good value.

Cons

I would like the ability to customize screens and I wish that it had API's for other connections.
